Groovio Switch Informaiton
We are making the switch to a new booking platform, Groovio. Read on below to understand how to access certain features, and for information on studio policy updates to fit the new software.
General Information
When is the switch happening?
All classes January 1, 2026 and on will be available only in Groovio. Between December 25th and December 31st, the studio will not be running any one-off classes, so we can transfer all student packages and credits.
You don't need to wait to download the app!
Classes are popping onto the schedule now, and if you login soon, there is a discount code for you to screenshot for $5 off your first class scheduled through Groovio.
App & Scheduling
The app is available in any standard app store. Search and download Groovio, and then look for "The Vertitude Santa Rosa"
In the app, you can purchase memberships and packages, book classes, purchase retail items, and more!
Click "Book Now" to navigate to the schedule. You can navigate by month, or select the category of class you are looking for.
To book a series, prior to its start date, select any of the dates for that series, and you will be able to book the entire thing. After the first class in the series has passed, you will only be able to book individual classes in the series. If you are attempting to sign up for the remainder of classes in the series, you will need to book each individually.
Memberships & Packages
General Membership Information
With this switch, we will be able to offer monthly memberships! To see the full details of each membership offered, from either your home page in the app or The Vertitude's home page, scroll down to "Suggested", and select "Memberships." Monthly memberships will not only offer discount overall on classes, but have additional discounts and perks associated with each one. You can use memberships to book any type of class at the studio, including Pole Series and Showcase Series.
Membership Payments
Monthly memberships will be charged and activated the day you purchase, unless you choose a start date in the future. To get started with your January scheduling, we recommend choosing a start date of January 1st so you have access to all the classes from that date on.
Monthly membership charges come out monthly, on the day of the month you selected for your first payment. The app will automatically understand how many credits you will have at any point in time, and will allow you to book classes months out based on how many credits you have already booked, and how many it understands you will have by that class date.
Membership Cancellation
You are able to initiate a cancellation of your membership directly in the app. Memberships canceled mid-membership period will not be refunded. To cancel a future month, you must initiate a cancellation at least 14 days prior to the next payment date. Initiating the cancellation after 14 days may result in the cancellation not being processed until the following month.
Non Payment of Membership
If your next month's payment does not process, the app will notify you and provide you with a pay now button, so you can use a different card if necessary. If you show up to a class that was scheduled with a credit that has not yet been paid for, the teacher will prompt you to make the payment to join the class. If you do not correct the payment within 7 days, Groovio will automatically cancel all future bookings made under that membership credit.
Packages
All of student's existing packages and credits will be transferred into Groovio between December 25th and December 31st.
While all current package types will be honored until they run out, not all package types will continue to be sold on Groovio, as we begin to offer monthly memberships.
Payment Plans
The payment plan feature in Groovio is different from Momence. Payment plans are set up as a Membership type, where you will be charged in equal payments across 3 or 4 weeks, depending on the length of the series. When you are ready to check out for a series, instead of selecting "Pay Now," select the "More Options" button. The appropriate payment plan for that series will show up (along with monthly membership options). You will receive the first charge immediately, with the following payments beginning at least 7 days later, but as late as the start of the term period (typically the 1st of the month) and recur weekly until the total cost has been satisfied.
Payment plans WILL NOT be an option if you start a series after the first class has already happened.
Cancellations & Makeups
Canceling an Entire Series
To receive credit for a full series, it must be canceled at least 24 hours prior to the start of the first class in the series. There are no exceptions to this. This is managed directly in the app, by viewing your bookings, and scrolling to the bottom of the series and selecting "Cancel entire course booking."
Scheduling Makeups for Individual Classes within a Series & One-Off Classes
You will now be able to schedule ALL makeup classes yourself, even for pole series! To receive cancellation/makeup credit, we are updating our policy from requiring 24 hours notice, to 6 hours notice. Anything canceled 6 hours or more prior to the start of class will have the same type of credit used to purchase the class placed back on their account. Due to updating this policy to make it more student-friendly, there will be no exceptions made to the 6 hour requirement, even for extenuating circumstances.
You will not be able to schedule into the first class of a series with a makeup credit, but you will be able to schedule into subsequent classes in a series for a makeup, so long as there is space available.
Because cancellation credits are placed on your account in the way they were purchased, credits for a missed series class must be made up by the last day of the month in which the series occurred. This is a system requirement, and we do not have the ability at this time to extend those credits beyond the end of the month.
If you are canceling a series class purchased with a payment plan, the system will not allow you to use the credit for a class prior to receiving the portion of that payment plan associated with that credit. For example, if you cancel the 4th class of the month, and your 4th payment is not scheduled to happen until the 25th, then you will not have access to book a class with that credit for the 1st through the 24th.
Discount Codes & Gift Cards
Any non-expired discount codes and gift card codes will be transferred to Groovio between December 25th and December 31st.
Groovio has not currently launched its gift card function. The anticipated launch date for gift cards is around the time of the official switch. If the function is not in place, existing gift card codes will be loaded like discount codes. If the balance of that is greater than the cost of your purchase, you will need to contact hello@thevertitudesantarosa.com to be supplied with a new code for the balance still owed to you on your gift card.
New Features!
Due to how new Groovio is, there are new features being added constantly. By the end of January, we expect to see a handful of updates that will impact your experience at the studio such us. One of those we are most excited about will be the ability to directly schedule your own privates and parties through the app. We're excited about the new app, and the changes it will allow us to bring to your experience at the studio.
